Please contact us if you need an official invitation letter to attend ETLTC. We will issue you one after the registration is confirmed. 

We will NOT accept any VISA INVITATION LETTER request after 22nd November 2024. 

We will NOT be able to accommodate any request for a visa invitation letter after 22nd November. Please submit your paper accordingly. We need a minimum of 7-8 days to complete the review process. 

For every participant who intends to attend on-site (from academic institutions), the following information will be required to be submitted. 

• Full Name as in passport

• Country of Citizenship & Residence

• Passport Number

• Male / Female

• Date of Birth

• Date of Intended Arrival in Japan

• Date of Intended Departure from Japan

• Affiliation and position

• PDF Copy of Receipt from EDAS

• Accommodation Details for Each Day of Travel

• Please note that we will NOT be able to support a visa invitation letter for travel that spans more than 3 days after the end of the conference. Also, the entire travel will be mentioned as an intended stay in Aizuwakamatsu and related to the conference. 

For the official visa invitation letter to be issued to someone from outside the university system, please submit the following documents: 

• Photocopy of the Company ID - Detailed affiliation copy

• Copy of the company/organization registration with seal

• A formal official letter explaining the purpose of attending ETLTC-ICETM on company letterhead signed and sealed by relevant authorities. 

• Scanned copy of the passport(s) for the visa applicant

• Correspondence with the conference organizers from a company email address, and not any generic email such as Gmail, Hotmail, etc. 

• Details of confirmed hotel reservation in Aizuwakamatsu (reservation copy made from travel agency such as Expedia, Agoda, etc. required)

• Proof of completed registration in EDAS (industry registration to be opened on request by conference chair)
